We will only collect personal information from you which you have provided voluntarily by completing the forms on this Site and/or sent to us via email and for the purpose of providing our services, including recruitment services. If you supply personal details to us through this Site then you consent to our maintaining, recording, holding and using such personal data in accordance with our Privacy Policy below.

  • Information regarding your qualifications,such as A Levels,final degree results and universities attended;
  • Information including nationality and visa details;
  • Photographs uploaded on the Site for recruitment purposes;
  • Interests and hobbies, so we can match you up with suitable roles and send your elevant marketing materials.

Your data/information can only be processed as per the Data Protection Act, 2019 under the following circumstances:

  • In compliance with and performance of a contractual obligation.
  • In compliance with a legal obligation; or as stipulated under the law.

How we will use this information

Information is used in the following processes:

To process applications
All information that we receive from you via the methods listed above (see‘ How we get the information and why we have it’) is used throughout all stages of the application process. This information determine show we screen candidates and determine their suitability for different roles. Sensitive information, such as CVs and other personal information, will not be passed on to third parties without consent. Photographs will no tbe usedfor marketing and sales materials without prior consent.


Marketing
From time to time, we may email you about jobs (internships, placement and entry level opportunities), company events, promotional offers, products and services which we feel could interest you. Your personal data will not be used for marketing purposes without your consent. If you do not wish to receive mailings from us, please notify​ hello@pro-interns.com​ giving your full name and address and you will be removed from the mailing list. We will also remove your photograph from our website and other locations if requested.

To contact you
We will store all email addresses, phone numbers and home addresses you have provided us with to act as a point of contact and will be in touch with you either via phone or email to inform you of any potential positions or interviews, and will remain in touch throughout the recruitment process.

To find relevant positions for you
Additional information, such as skill sets and qualifications and location is necessary to ensure that we can find roles that are suitable for you.

To monitor, analyse and improve our services
We will use this information to keep track of applications and to use this information to improve marketing, sales, and company services.

How information is stored
Information is accessible to the ProInterns Team. Your information is securely stored in HR management systems, including in our internal CRM system, used only by ProInterns. Sensitive information, such as address, date of birth and disability status, is held only by our internal systems. Photographs may be used for marketing and sales purposes. We will keep all personal information on file for a maximum of 2 years, unless you ask us to remove it from our systems before hand. In this case, all information, including CVs and photographs, will be removed within 30 days. We will dispose of information by deleting all personal details,including your CV and any additional information you have provided through out the recruitment process from our internal HR systems, as well as removing your photograph from all websites and marketing materials. Please note: if you wish to use our services again after this 2 year period, or within this 2 year period but have previously requested for your information to be removed, we cannot retrieve your data.

Placing Advertisements
You must ensure that all advertisements posted to the Site comply with all applicable legislation, regulations, by-laws, ordinances and codes of conduct.

  • You must adhere to the principles of truth in advertising.
  • You are not permitted to insert links to an external website or an externally hosted application form:

a. within the details of a job ad except in the apply options;
b. within or from a previously approved externally hosted application form;
c. within an employer/company profile; or
d.within any communications with a candidate via ProInterns without ProInterns approval which may be granted, withheld or withdrawn at ProInterns discretion.

You are not permitted to promote or refer to brands other than those associated with your business, (or a business operated by a related party to you):

a. within the details of a job ad (including from the apply functions);
b. from within ProInterns job application process;
c. within or from a previously approved externally hosted application form;
d. within an employer/company profile; or
e. within any communications with a candidate without ProInterns express approval which may be granted withheld or withdrawn at ProInterns discretion.

You may only post Advertisements on the Site that are in respect of a genuine employmentopportunity that is current as at the time of posting the Advertisement, and for which you are currently recruiting. ProInterns reserves the right to request any information from you that it deems necessary to verify that a genuine employment opportunity exists.

You may not post advertisements to the Site to any location outside of Uganda without ProInterns approval. ProInterns reserves the right to charge you our then applicable rate for any advertisement posted to any such location in breach of this clause.

You must ensure that advertisements posted to the Site are posted to the appropriate category of the Site. It is your responsibility to ensure that you familiarise yourself with the advertising requirements of each available category on the Site to ensure appropriate placement of advertisements.

Advertisers must ensure that all information entered into any data entry field, as part of the advertisement classification process, relates directly to there levant data field category. ProInterns reserves the right to amend, alter or remove any information that does not meet this requirement.

ProInterns reserves the right and Advertisers must accept as a condition of advertising on the Site, ProInterns right to re-classify advertisements posted to the Site, entitling ProInterns to withdraw advertisements from one category of its Site and to re-publish advertisements in another category on the Site.

Standard job advertisements are valid for 30 days, although you can choose to expire the advertisement earlier.

The following actions constitute a new/additional job advertisement:
a. Changing the job title of a job advertisement;
b. Changing the job description and requirements;
c.Advertisements as these will count against your account and ProInterns will invoice you accordingly.

Authority to store and retain applications
You expressly authorise ProInterns to store and retain all applications submitted in response to there levantad within our internal CRM, rather than emailing those applications to an external source.

Third Party
Usage Data may be supplied to third party processors to collect,store and process your personal data. ProInterns works with these third parties processors to provide our services and enable security measures designed to safe guard your data, from risk of loss, destruction, unauthorised access, modifications or disclosure. Inspiring Interns reserves the right to e-mail offers on behalf of third parties, where you have given consent to do so. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification -You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Account Terms Overview
You are responsible for using the Products and Services in a private and secure manner. ProInterns is not liable for any damage or loss due to unauthorized account access resulting from your actions, such as not logging out of the Productsand Services or sharing your account password.

ProInterns can refuse registration or cancelan accountat itssolediscretionat any time.

You may not use the Products and Services for any illegal activity or violate laws in your jurisdiction.

You may not use the Products and Services to distribute unsolicited email (“spam”) or malicious content such as viruses or worms.

You may not exploit the Products and Services to access unauthorized information.

ProInterns reserves the right to modify, suspend,or discontinue the Products and Services for any reason, with or without notice.

Abuse or excessively frequent requests to the ProInterns website or other Products and Services may resultin the temporary or permanent suspension of your account’s access to the Products and Services. ProInterns,at its solediscretion, will determine abuse or excessive usage. ProInterns will make a reasonable attempt via email to warn the account owner prior to suspension.

ProInterns owns intellectual property rights to any protectable part of the Productsand Services,including but not limited to the design, artwork, functionality, and documentation.You may not copy, modify, or reverse engineer any part of the Products and Services owned by ProInterns. INDEMNIFICATION
